List of applicants
You can view a list of all applicants for the entire university.
Item name | Overview |
---|---|
① Specify conditions to narrow your search | You can narrow down the applicants by specifying conditions. |
② CSV download of payment information | This function allows you to download payment information in CSV format. Based on the search results, you can collectively retrieve the payment information of applicants. |
③ Message | This icon displays the status of messages sent to applicants. If there are unread messages, a badge will be shown. Clicking the icon will open the messaging screen with the applicant. |
④ Applicant Information | This area displays applicant information, including Application ID, Name, Examinee Number, Payment Status, and Admission Scheme Name. Clicking the area takes you to the Applicant Details page. |
Clicking on the applicant information will display the Applicant Details page.
In “Remarks per university”, you can enter, view, or edit notes about the applicant on a university-wide basis.
By clicking “Applicant Information”, you can view the applicant’s application status for each admission scheme.

① Other actions | Perform other administrative actions. ・Download application data as a PDF. Download the application data in PDF format. ・Generate screening documents (only displayed when screening documents have already been created). Combine entered data and uploaded PDFs into a single PDF file. |
② Return this application | You can return the application to the applicant. |
③ Cancel my application | Cancel the selected applicant’s application. This can only be done for applicants whose application is complete. Once canceled, it cannot be undone. |
④ Messege | Display the messaging screen with the applicant. |
⑤ Edit Examinee number | Edit the applicant’s examinee number. |
⑥ Edit Remarks per entry | Display and edit remarks related to the applicant’s admission scheme. |
⑦ Edit Remarks per university | Display and edit remarks at the university level related to the applicant. |
⑧ Edit Screening results | Go to the screening result selection screen for the applicant’s admission scheme, with the applicant’s ID already searched. See STEP 5 for details. |
⑨ Applicant Info | Display the documents submitted by the applicant. Click to view the details of the documents. Displayed only when the COE document has been submitted. |
⑩ Selected examination subjects and periods | Click to view the details of exam subjects for concurrent applications. |
⑪ Photo | Click to view the registered facial photo. |
⑫ Application flow | Display documents from the application flow. Click to view document details. Depending on the settings, the payment status of the examination fee will also be displayed here. |
⑬ Make a new request | Create a new request document. |
⑭ Documentation Request Form | Display request documents submitted by recommenders or recipients. Click to check the document. You can also mark unsubmitted request documents as submitted. |
⑮ Postal documents | Display the status of received mailed documents. Click “Mark as received” to update the status to “Received”, which will also be reflected in the applicant’s account. |
If the application period ends and the application is incomplete, university administrators can click “Complete application” to submit the application on behalf of the applicant.
Edit submitted documents
You can edit submitted COE documents, concurrent application information, and application information from the details screen.
To edit, click the “Edit” button from the university administrator screen.
In the applicant details screen, check “Do not show edited document content to applicants, recommenders, or recipients” to hide edited content from them.
List of recommenders / request recipients
View the list of all recommenders and recipients across the university.
Narrow down recommenders / recipients by specifying conditions.
Click on a recommender / recipient to view their details page.
・Click on any request document to move to the request document details page.
・The input status will be marked as “Not entered” if incomplete and “Entered” if completed. If not completed within 10 days of sending the request, a reminder email will be sent.
