STEP8-2: Account Setting - Admission: Application assistants

Administrative accounts are invited by the university administrator. These accounts are authorized to edit information related to departments, programs, and admission schemes, as well as to create, edit, and delete application documents. They can also view information on applicants and recommenders/request recipients, exchange messages with applicants, manage application fee payments, and configure screening statuses.

If a user is granted “Create” or “Delete” permission for a function, “Access” permission for the same function is also automatically granted.

※1-1...Only departments assigned with view permissions by a higher-level administrator

※1-2...Only departments assigned with management permissions by a higher-level administrator

※1-3...Only programs assigned with view permissions by a higher-level administrator (if the user has view permission for a department, its subordinate programs are also included)

※1-4...Only programs assigned with management permissions by a higher-level administrator (if the user has management permission for a department, its subordinate programs are also included)

※1-5...Only when specifically assigned by a higher-level administrator

※1-6...Only when specifically assigned and permitted by a higher-level administrator




Inviting admission assistants


You can invite an Admission Assistant by clicking "+Invite application assistant" at the bottom of the Admission Scheme Detail page.


Set the appropriate permissions and click "Send invitation email" to proceed.


Item name Overview
Admission categorySet permissions for “Admission Schemes”. You can choose from “View”, “View and Edit”, or “All” including delete.
Admission formGrant permissions for the Admission Form feature. You can allow “Create”, “View”, “View and Edit”, or “All”.

Documentation Request Form    

Grant permissions for the Documentation Request Form. Options include “Create”, “View”, “View and Edit”, or “All”.
ApplicantsSpecify access scope to applicant information in the applicant list or Applicant Management. Options include “Unauthorized”, “View lists”, or “View lists and details”.
RequesteeSpecify access scope to recommender/requestee information in the Recommender / Requestee Management. Options include “Unauthorized”, “View lists”, or “View lists and details”.
MessagesGrant permission to exchange or view messages with applicants. Options include “Compose and send” and “View”.
Exam fee payment statusGrant permission to view exam fee payment status or to edit it for refund processing. Options include “Unauthorized”, “View”, or “Edit”.
Pass/Fail judgmentGrant permission to conduct pass/fail judgments.
